Product Allocation Alerts overview

Allocation Alerts send a product allocation alert when:

  • The remaining amount on a product allocation for the specified terminal/terminal group and consignee/consignee group is less than a specified percentage.
  • A product allocation for the specified terminal/terminal group and consignee/consignee group is refreshed.
  • A specified percent of a product allocation for the specified terminal/terminal group and consignee/consignee group is or is not lifted within a specified number of days after initial activation of the product allocation.

You can have multiple product allocation alerts configured for the same allocation.


Setting up a Product Allocation Alert

Location: Alerts > Product Allocation

Here’s how to set up a Product Allocation Alert:

  1. Select the Terminal or Terminal Group by either scrolling through the list provided or typing in a portion of the name and selecting from the filtered list.
  2. Select the Consignee or Consignee Group by either scrolling through the list provided or typing in a portion of the name and selecting from the filtered list. Once the search criteria is selected the page expands to include the main entry page for the product allocation alert:

Filter is based on product allocations that exist for the selected search criteria. If no product allocation exists at the Product, Product Group or Product Family level, then no available selections display.

Field Description
Products: Contains a filtered list of available PIDX product codes that can be used on a product allocation alert.
Product Groups: Provides a filtered list of available product groups that can be used on a product allocation alert.
Product Families: Specifies a filtered list of available product families that can be used on a product allocation alert.
  1. Select the SoldTo Managed box to indicate if this alert is a SoldTo Managed Alert.
  2. Select the type of alerts to create for this product:
Field Description
Alert if Product Remaining < x %: Issues a Product Allocation Alert, If selected. This alert notifies when the remaining amount on the selected product allocation is less than the specified percentage(s).

 SoldTo managed alerts can have only one remaining percentage.

Alert When this Allocation is Refreshed: Delivers a Product Allocation Alert, if selected. This alert notifies when the selected product allocation is refreshed.
Alert if x % is or is not lifted in First x Days: Distributes a Product Allocation Alert, if selected. This alert notifies when the specified percentage of the remaining amount of the selected product allocation has or has not been lifted in the specified number of days after initial activation of the allocation.
  1. Select the send address from the Alert Sender Address field. This is the email address that sends notification of the alert.
  2. Select the receiver and contacts that should receive this alert from the Alert Receiver Lists and Contacts field.
  3. Click the Paper Clip icon to add the list or contact.
  4. Repeat steps 7 and 8 for additional alert recipients.
  5. Click Save.

Searching for a Product Allocation Alert

Location: Alerts > Product Allocation

Here’s how to search for a Product Allocation Alert:

  1. Enter the information in the following fields:

Keyword Defines a full or partial key word that corresponds with the Search By selection.
  1. Click Search. The following columns appear for each Product Allocation:
Field Description
Terminal/Terminal Group: Indicates whether it is a terminal (T) or terminal group (TG) and provides the terminal or terminal group name for the Product Allocation Alert.
Consignee/Consignee Group: Specifies whether it is a consignee (C) or consignee group (CG) and includes the consignee or consignee group name for the Product Allocation Alert
Product/Group/Family: Determines whether it is a product (P), product group (PG) or product family (PF)  and includes the name of the product, product group or product family for the Product Allocation Alert.
Active: Identifies if the alert is active or inactive. Options are

Y – the alert is active.

N – the alert is inactive

SoldTo Managed: Indicates whether the alert is SoldTo Managed.

NOTE: SoldTo Assignments are directly linked to the Allocation Viewer and are editable through the Customer Managed Alerts within the site. If the contact is created by a customer using the Allocation Viewer, the contact is automatically labeled as Sold-To Managed. If the contact is created within DTN TABS, it can be editable by your customers by linking it to the correct SoldTos. To prevent edits, do not link internal contacts to SoldTos.
